A cancelled reservation can leave a Dubai holiday-home owner with several different questions: which nights are available again, what income remains payable, whether a refund needs approval and how the adjustment will appear in the accounts. A clear process helps your manager answer each question with a record you can check.

This guide sets out the cancellation controls to agree when arranging Airbnb management in Dubai. It focuses on owner decisions and evidence, so a booking disappearing from the calendar does not become an unexplained change in your monthly income.

1. Record the policy that applies to each booking

Ask your manager to keep the booking reference, channel, booking date, stay dates, cancellation terms and the amounts shown in the reservation. Save the terms attached to that booking rather than relying on the policy currently displayed on the public listing.

Airbnb distinguishes shorter reservations of 27 nights or fewer from monthly stays of 28 nights or more, with separate cancellation policies. Its standard shorter-stay policies include a conditional 24-hour cancellation window when the reservation is confirmed at least seven days before check-in. Timing uses the listing’s local time. Check the actual reservation and Airbnb’s current home cancellation rules before quoting a refund.

For your Dubai property, make the time zone explicit in the record. A guest, owner and reservations team may be in different countries. A note saying “before the deadline” is less useful than the platform deadline, the cancellation timestamp and the time zone used for both.

2. Set owner approval rules before a request arrives

Separate a platform-calculated refund from an additional refund your manager proposes as a goodwill decision. Agree who can offer that extra amount, any spending limit and the escalation route when the owner is unavailable. Put the arrangement in writing alongside the management agreement.

The approval request should explain what happened, the applicable booking terms, the proposed amount and the expected owner impact. Ask whether the figure includes cleaning, channel charges or other adjustments. The guest’s total payment and the owner’s eventual settlement are different figures, so they should be labelled clearly.

For an illustrative situation, a guest asks for an exception after a change in travel plans. Your manager could send a short decision note with the booking evidence and a proposed response. You can then approve an amount, decline the discretionary request or ask for more information without guessing what has already been promised.

3. Treat a host cancellation as a separate escalation

A decision that the property cannot accommodate a confirmed guest needs prompt attention. Agree who contacts the platform, who updates the guest and who checks the other reservations that may be affected. Do not leave this decision waiting in an ordinary monthly reporting queue.

Airbnb’s Host Cancellation Policy for homes allows fees and other consequences when a host cancels or is responsible for a cancellation. These can include calendar blocks, lost payout and account consequences. Hosts must not encourage guests to cancel on their behalf. A proposed waiver should not be treated as approved until Airbnb confirms it.

For emergency repairs or major damage, preserve dated photographs, contractor findings and relevant messages. Airbnb explains that valid-reason cancellations may require documentation and advises contacting support if qualification is uncertain. Your manager should report the case reference and decision, rather than promise that an exception will be granted.

Connect this process to your maintenance approval and repair records. The same incident may require immediate property work, a booking decision and an accounting adjustment, with a different person responsible for each task.

4. Check availability across every booking channel

After a cancellation is confirmed, ask your manager to inspect the affected dates in the central calendar and each connected channel. Record whether the nights are available, held for repairs or blocked by the platform. A cancelled booking does not by itself prove that every channel is ready to accept another guest.

Before reopening dates, confirm that the property will be ready and that there is no separate owner-use block. Review arrival restrictions and any gap between neighbouring reservations. Use the owner-stay calendar process when the owner wishes to use the newly available period.

If replacement demand is considered, ask the manager for a proposed rate and minimum stay with the reason for the change. Keep that decision linked to your pricing review. Releasing dates at an unchecked discount can create a new issue while resolving the first one.

5. Reconcile the refund with actual transactions

Request a cancellation record showing the original expected owner income, the revised platform payout, any separately approved refund and the settlement status. Mark estimates as pending until the transaction appears. If a later payout contains an adjustment, retain the link to the original reservation.

Airbnb notes that specified platform policies can override a listing’s cancellation terms and that money already paid may be recovered through a later payout adjustment. A restrictive policy therefore should not be presented as an unconditional income guarantee. The reservation outcome and transaction history remain the evidence to inspect.

Ask how management commission and any incurred operating costs are handled under your agreement when a booking is cancelled. Check the answer against your owner statement. Avoid counting both the original expected booking income and its replacement as completed earnings.

6. Keep a short cancellation register

A useful register has one row per affected booking: reference, channel, stay dates, reason, initiating party, policy, approval, refund, revised payout, availability check and final reconciliation date. Keep guest personal information within the booking systems and give owners only what they need to assess the decision.

Review repeated causes with your manager. Calendar conflicts may call for a connection check; property faults may require preventative work; repeated requests for exceptions may justify reviewing how terms are explained. Use the evidence to choose a corrective action without assuming every cancellation has the same cause.

Finish each review with the unresolved cases, the person responsible and the next check date. A case is complete when the guest communication, calendar position and financial record agree. That is a more useful owner control than simply marking the reservation “cancelled”.
